1. Overview

TheCarriersPortal.com ("we," "us," or "the Company") is committed to handling your information responsibly. This policy explains what data we collect, how we use it, and your rights regarding that data.

2. Information We Collect

Information you provide directly:

  • Company name, DOT/MC number, physical address, and contact details when onboarding
  • Compliance documents you submit (W-9, ACORD certificates, FMCSA authority letter)
  • Email address and phone number used for service communications

Publicly available information:

  • FMCSA carrier registration data (DOT number, authority status, operating authority, equipment) — this is public information published by the U.S. Federal Motor Carrier Safety Administration

Payment information:

  • We do not collect or store payment card details. All payment processing is handled by Paddle.com, our Merchant of Record. Paddle's privacy policy governs payment data.

3. How We Use Your Information

  • To build, deliver, and maintain your compliance portal
  • To communicate with you about your service, document renewals, and account status
  • To send initial outreach to newly registered FMCSA carriers about our services (where FMCSA data is public)
  • To comply with legal obligations

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

4. FMCSA Data & Outreach

The FMCSA publishes carrier registration data as a public record. We may contact newly registered carriers using this publicly available contact information to inform them of our services. If you have received an email from us and do not wish to receive further communications, reply with "unsubscribe" or contact us at info@thecarriersportal.com.

5. Data Storage & Security

Your data is stored on secured servers. Compliance documents are hosted on your portal with SSL encryption. We retain client data for as long as your account is active and for a reasonable period thereafter for recordkeeping. You may request deletion of your data by contacting us.

6. Third-Party Services

We use the following third-party services in the delivery of our services:

  • Paddle.com — payment processing and tax compliance
  • Namecheap / domain registrar — domain registration and DNS
  • Web hosting provider — portal hosting and SSL

Each third party operates under its own privacy policy.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at info@thecarriersportal.com. We will respond within 30 days.
